ISO 9001: digitalise your quality system without rewriting it

Many ISO 9001 certified companies in Morocco run their quality system on paper and in scattered Word files. It works, but it costs time: procedure versions that contradict each other, records nobody can find, and a week of preparation before each audit. Going digital does not mean rewriting everything. Here is a method that keeps what works.

1. Documents: one version, always the right one

A SharePoint library with version control and an approval flow replaces the binder. Each procedure has an owner, a review date and a status. The old version stays readable, but only one is “in force”. Staff find the right document from their phone.

2. Records: forms, not photocopies

Inspection sheets, readings, goods receipts: each paper record becomes a Microsoft Forms or Power Apps form. Required fields are checked, date and author are automatic, and the data lands in a usable list instead of a pile of sheets.

3. Non-conformities: a flow that does not stall

A reported non-conformity must be analysed, treated and verified. With Power Automate each step has an owner and a deadline, with an automatic reminder when it is late. The dashboard shows what is open, overdue and closed.

4. Internal audit: ready in an hour, not a week

When documents, records and non-conformities live in the same environment, the auditor gets read access and finds everything alone. Preparation comes down to checking that reviews are up to date.
